Zanzibar is a semi-autonomous part of Tanzania in East Africa. It is composed of the Zanzibar Archipelago in the Indian Ocean, off the coast of the mainland, and consists of many small islands and two large ones:
Unguja and Pemba. The capital is Zanzibar City, located on the island of Unguja. Its historic centre is
Stone Town, which is a World Heritage Site. As a semi-autonomous part of Tanzania, Zanzibar has its own government, known as the Revolutionary Government of Zanzibar. It is made up of the Revolutionary Council and House of Representatives. Zanzibar’s main industries are spices, raffia, and tourism. In particular, the islands produce cloves, nutmeg, cinnamon, and black pepper. For this reason, the islands, together with Tanzania’s Mafia Island, are sometimes called the Spice Island

Organizational Context & Project Description
UN Information Centre, within the Zanzibar UN Sub Office, was established to house, display and store various materials related to UN work and its development interventions at both national and international levels.

The centre possesses several reference materials suitable for ambitious students and researchers interested in development and human rights initiatives and those who focus on providing contributions toward the achievement of SDGs

An information associate is needed to perform a variety of activities intended to get the centre functioning on the purposes for which it was established in order to benefit both UN agencies contributing information materials and the community engaging in learning, researching and awareness raising.
Under guidance and supervision of the Head of UN Sub Office in Zanzibar, the Information Associate provides reliable services in information centre for both materials contributors (UN agencies) and users/beneficiaries (learning/researchers community)

Within the delegated authority and under the supervision of the Programme and Operations Management Specialist, UNDP Sub Office Zanzibar or his/her designated mandated representative(s), the NUNV Information Associate will undertake the following tasks:
  • Managing the information centre materials database
  • Provision of good quality services for information centre
  • Supervision of information centre users both UN staff and outsiders
  • Design and operationalise borrowing system to all allowed users
  • Preparation of weekly and monthly reports
  • Computerisation of all information centre materials
  • Physically arranging all materials properly
  • Day-to-day updating of the materials
  • Tracking movements of materials
  • Support any other relevant information function

Operational Effectiveness
  • Ability to perform a variety of repetitive and routine tasks and duties
  • Ability to use computer programmes specifically MS Word and MS Excel
  • Ability to handle a large volume of work possibly under time constraints
  • Basic knowledge of UN agencies
  • Ability to organize and complete multiple tasks by establishing priorities
  • Planning, Organizing and Multi-Tasking
  • Organises and accurately completes multiple tasks by establishing priorities while taking into consideration special assignments, frequent interruptions and deadlines
  • Demonstrates ability to quickly shift from one task to another to meet multiple support needs
  • Establishes, builds and maintains effective working relationships with staff and clients to facilitate the provision of support
  • Promoting learning and knowledge management/sharing is the responsibility of each staff member.

Furthermore, UN Volunteers are required to:- Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark International Volunteer Day)- Be acquainted with and build on traditional and/or local forms of volunteerism in the host country- Provide annual and end of assignment reports on UN Volunteer actions, results and opportunities using UNV’s Volunteer Reporting Application
Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.- Assist with the UNV Buddy Programme for newly-arrived UN Volunteers. Source: AjiraLeo Tanzania
Promote or advise local groups in the use of online volunteering, or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible

Information Center communication materials and database are well managed.
Quality service provision at the information center
Users of the information center including both UN staff and non-UN Staff are well coordinated and
managed
Design and operationalization of the communication materials including publications borrowing
system
Weekly and Monthly reports are produces and disseminated
Computerization of all communication materials and made available to users
Establishment of an organized shelf system for filling communication materials
An existence of inventory system indicating day to day movement of communication materials
