Key Job Outcomes: 

  • Gift processing. Responsible for all aspects of gift entry across all donor constituencies, from grassroots to major giving, and from multiple gift channels. Using queries and reports in Raiser’s Edge, Every Action, and other platforms, ensure established gift accounting standards and best practices are consistently followed, including regular reconciliation with Pathfinder’s Finance Department. In collaboration with Gift Officers, produce timely and accurate gift acknowledgement documentation for donors.
  • Prepare all invoices for the Individual Giving team to submit to Finance for payment, ensuring that all charges are properly coded to align with organizational standards. Participate in compliance audits when necessary.
  • Data entry. Work closely with all members of the Individual Giving team to ensure that a wide range of donor-specific data, from address updates to prospect management information, is properly entered and maintained in Raiser’s Edge and other platforms. Ensure meticulous organization and record-keeping for key team documents, including invoices, reports, and correspondence. Regularly perform queries and audits to ensure data integrity is preserved.
  • Serve as the Individual Giving team’s primary point of contact for both internal and external stakeholders. Respond promptly to donor inquiries, requests, and concerns received via phone, email, and mail. Work with Gift Officers to verify donor commitments and intentions. As needed, prepare and edit correspondence, communications, presentations, and reports for both internal and external audiences.
  • Meeting and event planning. Plan and coordinate domestic and international travel for staff. Organize and help execute team building events, meetings with internal and external stakeholders, and other departmental gatherings, whether in-person, virtual, or hybrid. Develop and circulate meeting itineraries and agendas. Maintain internal team calendars.
  • Other administrative tasks as assigned. Throughout the fundraising cycle, assist with various projects involving digital and print marketing, prospect research, data management, donor development, and stewardship.
  • Subject matter expertise. The Coordinator should be passionate about Pathfinder’s mission and committed to developing and leveraging a deep knowledge of fundraising best practices at cause-driven organizations.

Minimally Required Job-Specific Competencies:

  • Advanced organizational and project planning skills. Proven ability to set priorities, meet deadlines, and multi-task with minimal supervision.
  • Comfortable collaborating with multicultural teams in remote and hybrid environments.
  • Advanced knowledge of Teams, Zoom, and other collaborative tools, as well as all Microsoft Office products. Familiarity with SharePoint and Raiser’s Edge is a plus.
  • Superior verbal and written communication skills and an unwavering attention to detail.
  • Uses cellular and office phone, laptop or desktop computer

Minimally Required Organizational Competencies: 

  • High standards of professionalism, discretion, and independent judgment, particularly when handling sensitive or confidential material
  • Bachelor’s or equivalent 2-4 yrs experience
